Who we are
IDM Windows & Doors Ltd ("IDM", "we", "us") is the data controller for personal information collected through this website and in the course of our business. Our showroom and trading address is 52 Connaught Avenue, Frinton-on-Sea, Essex CO13 9PR. We are registered in England and Wales, company number 08266393, registered office Fortress House, 301 High Road, Benfleet, Essex SS7 5HA. This policy explains what personal information we collect, why we collect it, how long we keep it and the rights you have over it. We process personal data in accordance with the UK General Data Protection Regulation (UK GDPR) and the Data Protection Act 2018.
What information we collect
We collect personal information in the following ways:
- Contact form. When you request a quote through our website we ask for your name, phone number, email address, postcode, the product you are interested in and any message you choose to include.
- Phone, email and WhatsApp. When you call, email or message us we keep a record of your contact details and the content of the conversation so that we can respond and follow up.
- Showroom visits. If you visit our showroom and ask us to contact you, we will record the details you give us.
- Surveys, quotes and installations. To provide a quotation and carry out work we collect your address, details of your property and the products you have chosen, and where relevant photographs and measurements taken at the survey.
- Website usage. Our hosting provider, Netlify, may process your IP address and standard browser information in server logs for security and to deliver the site. If you accept our cookie banner, Google Analytics also collects information about how you use the site. See the Cookies section below.
How we use your information
We use your personal information to:
- Respond to your enquiry and arrange a free home survey.
- Prepare and send you a written quotation.
- Supply and install the products you order, including ordering from manufacturers and scheduling installation dates.
- Register your installation with Certass for building regulations compliance, and register any manufacturer or insurance-backed guarantees.
- Provide aftercare, honour our guarantee and deal with any service calls.
- Keep our accounts and comply with our legal and tax obligations.
- With your consent, tell you about offers and news from IDM. You can withdraw consent at any time.
Our lawful basis for processing
- Contract. Most of our processing is necessary to take the steps you ask for before entering into a contract (survey and quotation) and to perform the contract with you (supply, installation and guarantee).
- Legal obligation. We keep records to comply with building regulations, tax and company law.
- Legitimate interests. We keep a record of enquiries and correspondence so that we can run our business properly, answer follow-up questions and protect ourselves in the event of a dispute. We consider these interests are not overridden by your rights.
- Consent. Marketing messages are only sent with your consent.
Who we share your information with
We do not sell your personal information. We share it only where necessary with:
- Netlify, Inc., which hosts this website and processes contact-form submissions on our behalf and forwards them to us by email.
- Google LLC, which provides Google Analytics 4 — only if you click Accept on the cookie banner — and hosts the map on our showroom listing on Google Business Profile.
- Product manufacturers and suppliers, such as Eurocell, Sheerline and Tradelink, where they need your details to manufacture made-to-measure products or register a product guarantee.
- Certass, our competent person scheme, to register installations and issue building regulations certificates.
- Insurance-backed guarantee providers where a guarantee is issued in your name.
- Our accountants, insurers and professional advisers where necessary.
- Regulators, courts or law enforcement where we are required to do so by law.
How long we keep your information
- Enquiries that do not lead to work. We keep enquiry details for up to 12 months so we can answer follow-up questions, then delete them.
- Customers. We keep quotation, contract and installation records for 10 years from completion so that we can honour our 10-year guarantee and meet our legal obligations.
- Accounting records. We keep financial records for the period required by HMRC, currently six years from the end of the relevant financial year.
Your rights
Under UK data protection law you have the right to:
- Ask for a copy of the personal information we hold about you.
- Ask us to correct information that is inaccurate or incomplete.
- Ask us to delete your information where there is no good reason for us to keep it.
- Ask us to restrict how we use your information, or object to our use of it, in certain circumstances.
- Receive the information you gave us in a portable format.
- Withdraw consent at any time where we rely on consent, for example for marketing.
To exercise any of these rights, email enquiries@idmwindowsanddoors.co.uk or write to us at the address above. We will respond within one month. There is normally no charge.
If you are unhappy with how we have handled your information you can complain to the Information Commissioner’s Office (ICO) at ico.org.uk or on 0303 123 1113. We would appreciate the chance to resolve your concern first.
Cookies
A cookie banner appears the first time you visit. Until you choose, and if you choose Reject, only strictly necessary storage is used — the note of your cookie choice itself, and nothing that identifies you or tracks you between visits.
- Strictly necessary (always on). A single local storage entry that remembers whether you accepted or rejected the cookie banner, so we do not ask again on your next visit. This does not leave your browser and is not shared with anyone.
- Google Analytics 4 (only if you click Accept). Helps us understand which pages are useful and where visitors come from, using cookies that assign your browser an anonymous, random ID. We turn on IP anonymisation, so Google does not store your full IP address against that ID. Google keeps this data for 14 months and then deletes it automatically. Google Analytics does not use your data for personalised advertising on this site, and we do not run remarketing or ad-tracking cookies.
You can withdraw consent at any time by clearing your browser’s site data for idmwindowsanddoors.co.uk, which brings the cookie banner back, or by emailing us and asking us to note your objection. Google also provides its own opt-out at tools.google.com/dlpage/gaoptout.
The contact page shows a map of our showroom provided by OpenStreetMap. Loading it sends a standard web request to OpenStreetMap servers, which may record your IP address under the OpenStreetMap Foundation privacy policy. It does not set tracking cookies and is shown regardless of your cookie choice, in the same way a photograph would be.
Some of these providers, including Google, may process data on servers outside the UK. Where they do, they rely on their own standard contractual safeguards recognised under UK data protection law.
Links to third-party sites such as Facebook, Instagram, WhatsApp and Google Maps are governed by those companies’ own privacy policies once you leave our site.
Security
This website is served over HTTPS. Contact-form submissions are transmitted securely and stored in our email and business systems, which are protected by passwords and two-factor authentication. Paper survey notes are kept in our office and destroyed when no longer needed.
Children
Our services are for homeowners and landlords. We do not knowingly collect information from anyone under 18.
Changes to this policy
We may update this policy from time to time. The date at the top shows when it was last reviewed. This version was published on 7 September 2026.
